Smart Government Facility Check-in

Challenge for

Challenge

Smart governments manage a wide array of facilities that benefit from or require check-in and check-out procedures. The need is especially critical for facilities that manage dangerous substances or during epidemics. Currently it is common for facility check-ins and check-outs to be completed and recorded manually. This isn't ideal for staff members as the manual check-in process is time-consuming and takes time away from other essential duties.

Governments need a solution that streamlines the check-in and check-out process that will save valuable time by eliminating unnecessary steps.

Solution

SimplyCast offers the Smart Government Facility Check-in use case. This is a dynamic solution that allows both staff and visitors to easily check into and out of facilities, it also allows check-in questionaries to be present during the check-in process where appropriate. This use case helps governments to easily keep track of all visitors and staff present at each location by having them simply check-in using their mobile devices.

This solution streamlines the check-in and check-out process for governments by using forms and landing pages to create a process that efficiently processes visitors and staff when they enter or depart any facility.

Steps to Success

  1. When someone arrives at a specific site, they can simply scan a QR-code to start the process and indicate if they are checking in or out. The check-in can also be loaded on a computer or tablet for cases where a visitor does not have a mobile device.
  2. Those who are checking-in can optionally be presented with a questionnaire that asks questions that are configurable to each facility. This can be helpful during pandemics or epidemics to gather necessary information based on the current requirements. Visitors may also be asked to provide basic contact information.
  3. Based on the answers given, visitors and staff will be presented with a screen that confirms whether or not they are clear to proceed based on their responses. Security or reception can visually check by asking to see the page, or by checking a check-in log dashboard.

Best Outcome

  • Keep track of visitors at various facilities.
  • Simplify the check-in process.
  • Reduce the time spent checking into a facility for staff.
  • Add additional security options to verify the identity of staff when they check in.
