Best Teleconferencing Tips for Conference Call Security

As companies and businesses move toward become more digitalized, worry over digital security is becoming an increasingly crucial part of day-to-day life. Dos and Don'ts

The basic security feature of dial-in conference calls is the fact that the host and guests can be restricted from connecting to the call by PIN codes. Those who the host wants to join the call are given a PIN code they must enter to be able to join the call. From there, sometimes the call can only start once the host is connected, as everyone will be in a “waiting room” until they are let in by the host. This is just one way to protect your teleconference calls.

Here are some dos and don'ts that should also be kept in mind to help ensure you have the best teleconference security.

  • Do make sure that everyone who is participating in the call is using their own account. This helps protect personal information.
  • Do make people say their name and role out loud at the beginning of the call. This helps you better keep track of who is in the call and ensure there is nobody on the call who shouldn’t be.
  • Do keep track of who is joining and leaving the call. Doing so allows you to know who was in the call and help you better determine whether someone was not there who was supposed to be, or vice versa.

 

  • Don’t let anyone else know your host code or information. If people do, this can allow them access to your account whenever they want.
  • Don’t share one account between multiple people. Like with sharing PC login information, this can let people see others’ information as well as potentially allow former employees log back in.
  • Don’t leave your account open on a computer. Even if it is your own personal computer, if you get up to go to the washroom, someone may look through your account without you knowing.

Dial-out Conference Calls

With conference calls, the majority of the aforementioned security risks apply mostly to dial-in conference calls only. With dial-out conference calls, you do not need to worry as much about unwanted guests or people using shared accounts because only the hosts need to access the software or app. From there, they call whoever they want to have in the conference. This way no one else can join unless the host themselves invites them. No need to worry about random people joining, people using shared accounts, and so on.
