Creating a Process to Keep Lab Specimen Stakeholders Updated

When doctors and other medical professionals send specimens to laboratories to get analyzed, they often have trouble determining the status of those specimens. When a specimen is received, analyzed, or done analysis can be difficult to determine prior to the results being sent back.

A digital solution can help by leveraging personalized automation to match the stages any specimen is expected to go through. By making use of communication engagement tools, such a solution can easily keep stakeholders up to date.

SimplyCast presents the Lab Specimen Tracking use case, a complete solution that uses digital forms, tracking IDs, and dynamic emails to create a streamlined process that ensures stakeholders no longer wonder what’s happening to their specimens.

The solution is intended to be used by analysts and technicians within medical laboratories to track the progress of specimens.

The Process

SimplyCast anticipated the need for laboratories to improve how they communicate with the stakeholders who are sending them specimens. To do this, a process with three key steps split between stakeholders and lab staff was created:

Stakeholders – Step 1

First, a specimen is sent by a stakeholder to the laboratory for analysis, along with that stakeholder’s contact information.

Lab Staff – Step 2

When the specimen is received, a member of the lab’s staff can submit the specimen using a form (or in bulk by uploading specimen details from a spreadsheet). This generates an ID for the specimen.

Lab Staff – Step 3

As analysis progresses, lab staff can progress the specimens progress by submitting the specimen’s ID into forms associated with each stage. This automatically triggers messages to send, updating the original stakeholder on the specimen’s progress.
