It is common for home health care services to offer regularly scheduled home visits to check in on their program participants. The team members that perform these checkups may have to stay connected with a partner throughout the visit, to ensure their safety is being monitored. Having to make several phone calls during the day, and be aware of each other’s schedules creates extra work for everyone, and isn’t the most effective method for safety checks. Avoiding additional work for the team is ideal, but safety is a main concern for many organizations.
A digital solution can ensure both safety and convenience are looked after, by creating an automated system for checking in and out of home visits without the hassle of tracking each other’s schedules.
SimplyCast presents our Safety Checks for Home Visits solution, an automated system for streamlining the home visit check-in process without the inconvenience of communicating back and forth with a partner.
The solution leverages automated communication technology to create a safe, effective method for home health care services and their visits.
Steps to Improve the Safety Check Process
SimplyCast predicted the need for an improved method of checking in and out of a home visit, that ensures both safety and efficiency are considered. This is achieved with a digital, home visit check-in system where team members fill out a digital form upon beginning and ending a visit. This avoids the inconvenience of calling a partner and having to keep track of multiple schedules.
When it comes to ways a digital solution can improve the home visit safety check process, we identified four key opportunities.
Step 1 – Create Database
Creating a database for the team is the first step in this solution. This is where they will enter their contact information using one of two methods: Each member can complete a short online form, or an Excel spreadsheet that is uploaded that contains each member’s contact information.
Step 2 – Home Visit Check-In
When a team member arrives for a home visit, they simply have to fill out a short online form with their name and the location of the home. This information will be stored, so there is a record of when the visit began.
Step 3 – Home Visit Check-Out
Once the home visit has been completed and the team member has left the location safely, they can fill out a second short form to officially check out. If a predetermined amount of time passes, and they still haven’t checked out, they will automatically receive a message reminding them to complete the form. Their partner may also be set up to receive a message, letting them know they should reach out and confirm that the visit ended safely.
Step 4 – Final Review
When the visit has been successfully completed, the team manager has the option to review a detailed report. This report may contain information such as a timestamped record of each check-in and check-out, a record of all reminder messages that were sent, and an individual contact profile where any relevant information is stored.
That’s the core of what it takes to create an effective home visit safety check solution and it’s only scratching the surface of what is possible when it comes to using digital technology to improve safety communication.
