We send 306.4 billion emails every day. With that many emails going back and forth between various people, it’s safe to say that thousands of them are business newsletters being sent to customers. Dozens or hundreds of emails being sent to individuals every day. How do you make your newsletters stand out? How can we keep track of all our customers and send them information that they find useful?

SimplyCast has created the Newsletter Management use case, a multi-tool automated solution that can handle the design, content creation, and sending of newsletters while also tracking customer interactions and responses. This helps ensure that the right content goes to the right people at the right time, while reducing the amount of time that must be dedicated to the process.

From the customer’s perspective, it’s easier to interact with messages and open them if they are personalized and consistent. The customer feels a personal connection and knows what to expect.

The solution makes use of a powerful set of tools to send messages, receive responses, and provide advanced tools for handling different behavior ranges. It can even show different content to different customers based on their interests.

Ways to Improve Your Newsletter Process

SimplyCast anticipated the need for newsletter solutions that would help management save time and improve customer experiences. When it comes to the ways newsletters can be improved, we identified four areas in which the process can be tweaked to make it better for everyone:

Managers – Customer Database

You’ll need to create a customer database before anything else – This means uploading your existing database and then developing a means to record new incoming customers. This can be a web form or a landing page and can be used internally during customer intake or externally through voluntary signups. A caveat here is that internal signups need to be explicitly for the newsletter, as some countries will not accept automatic opt-ins as legitimate.

Managers – Personalize the Message

Before you can send newsletters, you need to create a template from which you can work. This template will pull information from the customer database, so you’ll want to ensure that information is up to date. As well, you can track the links customers click and the emails they open to determine what they see – conditional emails can do that down to the individual reader level.

Managers – Follow-up Messages

Not every customer will see the newsletter right away. You can set up follow-up messages to remind customers about the new newsletter. Furthermore, you can set up additional messages to respond to customer behavior. If they expressed interest in a certain product or service for instance, you could automatically send them another email specialized to that interest.

Customer – Feedback

The most important thing customers can provide is engagement, obviously, but above that, feedback. If something about the solution doesn’t work, we need to know! The solution is highly customizable to each organization’s needs, so let us know so that we can work to make the newsletter management solution better for you.
