Data Erasure Process

Because many information security regulations require that individuals can request erasure of data associated with them, companies must have a data erasure policy in place. A digital process that streamlines this policy and helps manage it can be an extremely useful tool in ensuring compliance with these various regulations.

SimplyCast presents the idea of the Data Erasure Request use case, a complete solution for managing the entire data erasure process, from the initial request to the final confirmation.

The solution is intended to be leveraged by operations managers in tandem with account management and system administration teams in order to ensure the data erasure process is followed.

The Data Erasure Request Process

SimplyCast has anticipated the need for software-as-a-service companies to ensure that the data erasure process is handled effectively and consistently for all requests. This requires a straightforward and trackable process with only a couple steps for each of the parties involved.

Requestors – Step 1

The process begins when a private individual makes a request to an organization for their data to be erased. This request is submitted using an online form.

Account Managers – Step 1

Account managers are notified automatically once the form is submitted that they need to assess and verify the identity of the requestor, to ensure that the data being erased belongs to the individual making the request. The identity verification process must be completed manually by the account manager each time a request is submitted.

Account Managers – Step 2

Once the requestor’s identity is verified, account managers are able to click a link in the original notification they received and validate the data erasure request, which will automatically pass it on to a system administrator.

System Administrators – Step 1

The system administrator is able to complete erasure of the relevant data. Once they have completed the request, they will trigger the sending of a final message to inform the requestor that the erasure of their data is complete.
