Food Catering Order Management, How to Use

When a restaurant becomes popular, people often request that they fill orders for large events. Having to manually track these orders, their sizes, and other specifics can be a challenge to do. Staff have to note many details, and ensure that everything is to the customer’s standards. Restaurants want to avoid as many errors as possible when using manual communication, which can be difficult. This is where SimplyCast’s Digital Catering Food Management solution comes in handy. This set of automated tools was created to help restaurants handle catering orders and make the most out of these opportunities.

Obtaining information from clients in an efficient, organized manner makes the catering process run much smoother. Order management running smoothly means that restaurants can focus on producing quality results. Building valuable relationships with clients helps encourage repeat business, along with positive reviews from others. In an ordinary situation, customers will reach out to the restaurant to place their orders, often via a phone call. The restaurant will then manually record all of the information provided, and handle all of the following steps. Having an automated solution to take this over greatly benefits everyone involved. This solution involves 5 key steps to connect interested customers to restaurants and get them the results they are looking for.

How the Digital Solution Works

While the manual option works for some companies, it leaves a lot of room for error. Nobody wants unhappy customers, so ensuring you’re keeping everything organized and to their liking is very important. Our digital solution keeps customers notified throughout the entire ordering process, so they know exactly what is happening, and are able to make any changes accordingly. The solution only involves 5 key steps to make the catering experience great for everyone involved.

Step 1- Online Ordering

The process starts with collecting the order from your customer. This is done using an online form that may ask for things such as name and contact information, order details, order delivery/pickup details, or delivery date and time. Since the form is connected to a confirmation email and an online client database, everything will be stored for future use.

Step 2- Order Confirmation

In this step, the system will send an email containing all of the details of the order to the customer, asking them to confirm. Restaurant managers simply have to create a message template one time, and the system will pull customer information from the database and fill it in to the message before sending. If the order looks correct, the customer can confirm either by clicking a button within the email, or sending a keyword via text message.

Step 3- Order Created

As soon as the customer confirms their order, the restaurant will receive a notification. An order task will also be created on the dashboard to keep everything organized. This will show the customer's name, order delivery date, and the specifics of the order (food type, quantity, etc). Once the manager sees the order and assigns it to staff, the system will send a reminder message to the client on the day before completion.

Step 4- Order Notification

On the delivery or pickup date, once the order has been processed, the manager will mark the order as completed. The solution will automatically send a personalized message to the customer informing them that their order is ready. If the order is being delivered, the manager can mark it as “dispatched”, and the customer will receive notice that the order is on its way.

Step 5- Order Completion

Once the food has been picked up or delivered, all the manager has to do is mark the order as completed. The customer will receive automatic notification that their order has been finished, and any additional messages will be sent.
