Within this process, different people will interact with the process in different ways. Generally, nonprofit administrators will have a four-step process, while donors will only have one to two steps to complete.

Administrators – Step 1 

The first thing administrators will need to do is plan and set up their form. Without this form, engagement cannot be automated, as key information will not be present in the central contact database. The form can be used internally or provided to donors for external use. Ideally, both uses will occur on different forms, ensuring data from in-person signups and phone calls winds up in the same place as any online signups.

Administrators – Step 2

Once the form is created, administrators will need to decide how they intend to engage with donors and pre-build those messages. The messages can leverage merge tags to remain personal and use delays and decisions to ensure that they are received by the right person at the right time.

Administrators – Step 3

Once the messages are completed, automation rules should be set using the elements available. Some of these will be used to delay messages until a certain time, or until certain conditions are met. Finally, administrators must review the reports. This will indicate if there is a problem contacting a donor, or maintaining engagement with them. You will also find crucial information in the reports about donor behavior, so that you can fine-tune your messaging and ensure that each donor is engaged in a way that is valuable to them.

Donors – Step 1 

The donor will need to speak to staff or fill out the online form in order to begin the process once the messaging, automation, and form have been set up. From that point on, unless the donor has questions, they don’t need to do anything other than read their messages. If they do have questions, responses can be sent in reply to the emails and they will be delivered to an address of the administrator’s choosing.
