A Digital Solution for Universities

COVID has been a time of ever-changing policies and requirements for most of us, and universities are certainly no exception. With thousands of people a day on campus, they have strict regulations and public health guidelines that they must meet to remain open. Beyond that, they are also responsible for the health and safety of their staff and students. It can be difficult to try and maintain all of these required systems at once, especially manually.

That’s where an automated solution comes in. An ideal automated solution would handle the check-in and vaccination record processes, allowing for the passive gathering of visitor information and accurate records for public health authorities should an outbreak occur.

Introducing the COVID Preparedness use case for universities from SimplyCast.

We built this solution to handle the majority of communications regarding general awareness, check-in, and vaccination policies, as well as to ensure that points of communication where human input is required are kept to a minimum.

Relying on human input to take, keep, and maintain all these records could become problematic. There could be gaps in record keeping, lack of participation, mistakes or oversights in data collection, and inconsistent or inaccurate details. The preparedness use case minimizes this by making check-ins convenient, allowing for stored data to be updated on a regular basis, and keeping that data centralized in a way that still allows for personalized communications that make visitors feel valued.

How do people interact with this solution?

Administrator – Step 1

An administrator creates an online form and a QR code. By placing signage with the QR codes at ingress and egress points of the educational institution, students can check in on their own.

Administrator – Step 2

The administrator templates a confirmation message that will send a personalized confirmation to the students once they complete their check-in, and a follow-up message containing hygiene best practices.

Student – Step 1

A student checks in on campus by scanning the QR code with their phone. This takes them to the form that was created by the administrator, where they can fill in their details for public health tracking.

Administrator – Step 3

Once the check-in is completed, the administrator can verify vaccination, review the student’s responses, and follow up if there is any need. The reports will remain available, allowing public health authorities to track exposure windows if such an occurrence happens.
