A significant portion of university students come from abroad or different states/provinces. Right now, universities and local authorities are putting extra travel requirements in place to prevent the spread of COVID-19. It is natural that there will be thousands of new and returning students among the travelers in the coming months who pose a great risk to local healthcare systems.
Universities, alongside local authorities, are working hard to keep students informed regarding the travel registrations and isolation protocols even before they leave home. In many places, local authorities are setting up strict regulations regarding the self-isolation and self-quarantine process. For instance, in many places, students need to move to a university-approved hotel/motel to spend their quarantine period and they must stay there for a set number of days. If they break the protocol, they might face legal repercussions.
Universities can help students out here by checking up on them on a daily basis and ensuring that they are following their COVID-19 isolation/quarantine protocol.
The question is: how? It is not possible for a few staff to check up on thousands of students on a regular basis. I mean, imagine 10-15 staff calling every single student to check on their health statuses and making sure that they are quarantining themselves. How they are supposed to do their other work? And manually record data every day, keeping track of who completed how many days? It will turn into a nightmare.
So, the only reasonable way to make this regular isolation/quarantine check-up process happen is to automate the entire system.
Here's how schools can do it:
Step 1: Collect student data
As soon as students arrive, they will fill out an online form regarding their health status, recent travel history, contact numbers, etc. The timestamped form will store all data in a centralized system.
Step 2: Sending confirmation notice
Upon analyzing data submitted by students, they can be divided into three groups. The first one is for students who will need to self-isolate. Second one is for students who will go for quarantine, and the third one for is students who are exempted from the isolation or quarantine process. Based on their status, each student will receive a personalized confirmation with detailed instructions.
Step 3: Automated daily check-up
Students will be getting a daily status check via automated voice calls. They can confirm their status by pressing a button. This daily check-up process will go for a set number of days.
Step 4: Confirmation of process ending
Once the set number of days is over and students have confirmed that they have been isolating/quarantining without any exceptions, they will receive a final message that states that their isolation period is over. Further instructions can be attached regarding what to do and what sort of health advice they need to seek if they require.
It is an easy concept, isn’t it? Schools are checking in on students on a daily basis without sacrificing staff’s valuable time and the school’s resources.
With this system, schools can check up on thousands/millions of students without room for human error. We all know this job should be errorless, as a slight mistake can turn someone into patient zero for a new outbreak.
“Great! I understand this plan and I think it is good. But how I can get a solution like this?”
No worries at all! We have an automated solution ready for this particular use case. Powered by SimplyCast’s automation technology and engagement tools, we created a solution that will help schools to check up on students on a daily basis and maintain the records accurately.
Our solution consists of SimplyCast 360 automation manager, email communication, SMS communication, voice broadcasting, digital forms, CRM, and instant alerting tools. These tools are placed in different steps of the process and together they form a customizable use case solution for self-isolation check-up process.
Online forms help schools to collect and record student data. A form can be sent to students via a short URL. This short URL can be sent via email or SMS.
Our powerful CRM records all entries in a master list. Based on the response, staff can move any respondent into a particular group (isolation, quarantine, exemption) while keeping the master list intact where initial responses are recorded with a time stamp.
Our 360 automation manager then triggers an emergency alerts campaign for a set number of days. With this campaign, every student in each different group will get different messages via voice calls. They can take specific actions to confirm their message receipt and those responses will be recorded into the system as well.
Finally, when the set number of days is over, school staff can simply remove a student’s details from the database, which completes their isolation check-up.
We have designed this solution keeping scalability in mind. From a small school with a few thousandstudents to big schools with millions of students, staff, and faculties, we can help them all.
